How RinoMove processes personal data of service users.

RINOMOVE PLATFORM PRIVACY POLICY

1. GENERAL INFORMATION This Policy explains what personal data is processed when the RinoMove information Platform is used, for what purposes it is used, to whom it may be disclosed, and what rights the user has. 2. DATA PROCESSED BY THE RINOMOVE PLATFORM The RinoMove Platform may process the following data.

2.1. ACCOUNT DATA When a user registers and uses an account, the RinoMove Platform processes the email address, password in protected form, selected role, display name or pseudonym, dates of account creation and confirmation, and information about acceptance of legal documents. The RinoMove Platform does not verify the user’s real name. A user may use a display name or pseudonym provided that they do not impersonate another person or infringe the rights of third parties. The email address used for registration is not shown to other users unless the user has independently specified it as a contact method.

2.2. CONTACT DETAILS The client provides contact details that are shared with the driver when a request is submitted. The driver provides contact details when publishing a trip listing. These contact details are available only to registered users of the RinoMove Platform. Contact details may include, for example, a telephone number, email address, messenger username, or another contact method specified by the user. The user independently decides which contact details to provide and must not provide another person’s contact details without a lawful basis.

2.3. LISTING AND REQUEST DATA The RinoMove Platform processes information provided by a user when publishing a trip, listing, or request, including the route, trip date, boarding, drop-off, collection, or delivery points, number of passengers, cargo information, animal information, vehicle information, requested and calculated price, trip and request statuses, and user comments. The user must not include unnecessary personal data in a public listing.

2.4. SUPPORT REQUESTS When a user contacts support through the support form or by email, the following may be processed: the user’s contact details, the text of the question or complaint, information about the related trip, listing, or request, materials attached by the user, correspondence with support, and the outcome of the review.

2.5. AI ASSISTANT DATA The RinoMove Platform may process text entered by the user into the AI assistant and the generated response. The entered text may be transmitted to an external AI service provider to generate a response. Before being sent to an external AI provider, the text is not automatically masked, anonymised, or stripped of personal data. The user must not enter into the AI assistant passport data, identity document numbers, banking details, passwords or verification codes, medical information, an exact home address, vehicle documents, personal data of other persons, or any other confidential information.

2.6. TECHNICAL DATA When the RinoMove Platform is used, the following may be processed automatically: IP address, date and time of access, browser and device type, operating system, pages viewed, error information, actions related to security and account login, interface language, and technical session identifiers.

3. PURPOSES OF PROCESSING Personal data is used for account registration and operation, restoring access to an account if a password is lost, confirming an email address, publishing and displaying listings, sending and reviewing requests, sharing contact details between a driver and a client, calculating price and capacity, sending service notifications, operating support, reviewing complaints, moderating listings and users, preventing fraud and abuse, protecting the RinoMove Platform, diagnosing technical errors, operating the AI assistant, and complying with legal requirements. The RinoMove Platform does not sell users’ personal data and does not use the registration email address for advertising mailings without a separate lawful basis.

4. LEGAL BASES FOR PROCESSING Depending on the purpose, data is processed on the following legal bases: • performance of a contract — for registration, account operation, publication of listings, requests, and sharing of contact details; • the Operator’s legitimate interests — for security, prevention of abuse, diagnostics, moderation, and protection of users’ rights; • user consent — where consent is requested separately; • compliance with a legal obligation — only where applicable law expressly requires the Operator to retain or provide specified data to a competent public authority; • establishment, exercise, or defence of legal claims — when disputes and violations are considered. The RinoMove Platform does not make consent to optional advertising or marketing a condition for access to its core functions.

5. DISCLOSURE OF DATA TO OTHER USERS To enable direct communication, the RinoMove Platform shares contact details between the driver and the client. The client’s contact details are shared with the driver to whom the client has sent a request. The driver provides contact details when publishing a listing, and those details may be shown to clients in accordance with the functionality of the RinoMove Platform. Received contact details may be used only for matters relating to a specific trip, listing, or request. It is prohibited to use contact details for advertising without consent, mass mailings, harassment or threats, disclosure to third parties, or creation of external databases. After contact details have been shared, the user is independently responsible for further communication outside the RinoMove Platform.

6. OTHER RECIPIENTS OF DATA Data may be disclosed to organisations that help operate the RinoMove Platform, including a server infrastructure provider, email service provider, AI service provider, technical monitoring and diagnostics providers, legal and professional advisers, and public authorities where disclosure is required by law. Such recipients receive only the data necessary to perform the relevant function. If a provider processes data outside the European Economic Area, the Operator uses data-protection mechanisms provided by law where required.

7. RETENTION PERIODS Account data is stored until the user deletes the account. When an account is deleted: • the email address is deleted; • contact details are deleted; • password and access data are deleted; • the display name or pseudonym is deleted or disassociated from the account; • information about trips, listings, and requests is anonymised and may be retained for the operational history of the RinoMove Platform, statistics, and analysis of its use. After anonymisation, the retained information must not allow the user to be identified or a trip, listing, or request to be linked to the deleted account. Support requests and complaint information are deleted or anonymised after their review is completed, except where temporary retention is expressly required by law or is necessary to address an existing dispute. Technical logs are retained for a limited period necessary for security and technical error diagnostics.

8. ACCOUNT DELETION A user may delete an account using the functionality of the RinoMove Platform or submit a request through the support form. When an account is deleted, profile data, the email address, and contact details are deleted. Trips, listings, and requests associated with the account are anonymised. Data previously disclosed to another user, such as contact details, may remain with that user outside the control of the RinoMove Platform Operator.

9. COOKIES AND LOCAL STORAGE The RinoMove Platform may use cookies, localStorage, sessionStorage, and similar technologies. They may be used for account login, security, session maintenance, saving the selected interface language, saving technical settings, and operating individual Platform functions. The selected language may be stored in the browser’s localStorage. These technologies are described in more detail in the RinoMove Platform Cookie Policy.

10. USER RIGHTS The user has the right to obtain information about processing of their data, request a copy of their data, correct inaccurate data, request deletion of data, request restriction of processing, object to processing based on legitimate interests, receive data in a portable format where applicable, withdraw consent where processing is based on consent, and lodge a complaint with a supervisory authority. The exercise of individual rights may be restricted by law, for example where data must be retained to resolve a dispute or comply with a legal obligation. A request may be submitted through the RinoMove Platform support form or by email to [email protected]. The Operator may request information necessary to confirm that the request relates to the relevant account.

11. SECURITY The Operator applies reasonable technical and organisational measures to protect data against unauthorised access, unlawful alteration, accidental loss, destruction, or improper disclosure. However, no information system can guarantee absolute security. The user must protect their password, verification codes, and access to their email account.

12. DATA OF OTHER PERSONS AND MINORS A user must not provide the RinoMove Platform with personal data of another person without a lawful basis. If the client provides information about a passenger, cargo owner, or person accompanying an animal, the client is responsible for the lawfulness of providing such data. The RinoMove Platform is intended only for adult users with full legal capacity.

13. CHANGES TO THIS POLICY The Operator may update this Policy when the functions of the RinoMove Platform, the categories of processed data, providers, or applicable law change. The document page states the version number and effective date. If changes materially affect users’ rights, the Operator will notify users through the RinoMove Platform or by email.

14. COMPLAINT TO A SUPERVISORY AUTHORITY If a user believes that their personal data is processed in breach of the law, they may contact the Operator through the support form or by email. The user also has the right to lodge a complaint with a competent personal data protection supervisory authority, in particular in the country of their habitual residence, place of work, or the alleged infringement.
